CCHSG PTFA Privacy Notice
Colchester County High School for Girls Parents, Teachers and Friends Association respects you and your child’s privacy when you supply us with personal information and is committed to complying with privacy legislation. The information below is what is referred to as a ‘Privacy Notice’ which explains how we use and protect your personal information.
The person responsible for ensuring Data Protection Compliance (respecting your rights and ensuring we follow the law) for the CCHSG PTFA is Mrs Agness O’Brien (agnessobrien@hotmail.com).
What is Personal Information?
Personal information is any records that can identify and relate to a living person. This can also include information that when put together with other information can then identify a person.
Why we have your personal information
The PTFA only uses data which you voluntarily supply to us and which you have agreed that we can hold. As we are using your consent to process your personal data, you have the right to withdraw that consent at any time. If you wish to withdraw your consent, please contact agnessobrien@hotmail.com so that your request can be dealt with.
How we limit the use of personal information
Where necessary CCHSG PTFA might process the personal data that you supply to enable us to contact you about relevant events and activities. We do not sell personal data to any other organisation for the purposes of selling products.
Your privacy rights
Who will we share your personal information with?
We do not share information with other companies or partners unless you have specifically given us permission to do so (e.g. supplying list of addresses to William H Brown for installation of advertising boards). Where we have these arrangements there is always a contract, memorandum of understanding or information sharing protocol in place to ensure that the organisation complies with data protection law.
Sometimes we have a legal duty to provide information about people to other organisations, e.g. Child Protection concerns or Court Orders. The law does not allow us to share your information without your permission, unless there is proof that someone is at risk or it is required by law.
How do we protect your information?
We will do what we can to make sure we hold personal records (on paper and electronically) in a secure way, and we will only make them available to those who have a good reason to see them. Our security includes:
- Storing data securely stored on password protected devices. Any paper copies of data required temporarily for event registers etc. is destroyed as soon as it is no longer required.
- Controlling access to systems and networks allows us to stop people who are not allowed to view your personal information from getting access to it.
- Providing training for relevant PTFA members to make them aware of how to handle information and how and when to report if something goes wrong.
How long do we keep your personal information?
We will keep personal information that you have supplied for a period of one year after the last student relevant to the PTFA membership has left the school and then delete it. Parents or carers wishing to remain as part of the PTFA after their child has left the school can request for their data to be retained and their membership of the PTFA to continue. As we are using your consent to process your personal data, you have the right to withdraw that consent at any time and to request that all records be deleted. Any such request should be made in writing to agnessobrien@hotmail.com.
